Goals describe outcomes. Projects organise multi-step initiatives. Tasks are actions. Notes hold information. Resources group related notes. Agent Vault holds AI instructions, durable context, reference pages and reusable workflows.
The starter Tasks database uses Task, Done, Do Date, Due Date, State and Related Project. Done is a checkbox, not a status property. State describes work style: Deep Work, Easy or Quick. Do Date means when to work on the task; Due Date means an actual deadline. Never invent a deadline from a work date. A task can exist without a Project. Use the live default template and preserve defaults unless the request requires a change.
Notes uses Notes for its title, Type for content type, Link for a source URL, and optional Project and Resource relations. Each relation allows one page in the starter setup. Reuse existing Projects and Resources; do not create new categories merely to fill a field. Preserve original notes, quotations, links and files when organising. Keep meeting records in Notes with Type set to Meeting when appropriate; creating AI Meeting Notes or recording a meeting requires the user's action and any required consent.
Soul owns AI operating rules. Memory holds approved durable context. Artifacts holds maintained references. Skills owns repeatable procedures. Tasks and Projects own current execution. Notes owns reusable knowledge and requested review records. Do not turn temporary progress into permanent memory.
The owner of this duplicated workspace maintains its instructions, sources and skills. Read current database schemas before writes. Views and hidden properties are presentation settings, not privacy controls. Inspect Share permissions before adding sensitive information. Keep one source of truth per topic. Update Context Map after an approved source move. Preserve original databases and buttons unless their change is explicitly requested.
